Paragon’s Contact Manager is the place to set up automatic email notifications to your clients. When listings matching specified search criteria come on the market, your client will be notified by email. Take note of these 3 important tips to ensure success when using Contact Manager:
1. You must manually mail the first set of results
Once you’ve built your search criteria, the first set of matching results reflects the data that exists up to the moment you save the search to your contact. Any listing created in the system after that moment will be auto-magically emailed to your client. The data existing prior to that moment must be sent out by you, manually, using the “Email” button at the top of the search results page. So remember, after your create your search criteria, send the initial listings out yourself. Everything after that will be handled by the brilliant robots inside of Paragon.
2. The signature in your email notification is not managed in Contact Manager
Your email signature is a new feature that pulls signature management into one interface. The place to manage your signature is not found in Contact Manager, but rather in Preferences. Click the Preferences Icon, select “Email”, and then click on “Email Signature”. Find your default signature, and edit as desired. Note that though you can change your contact information within the signature for your email notifications, you must update your contact information with your association should it change, so that it’s correct throughout the many features of Paragon.
3. The type of report your client receives is determined in the Email Notification Options
For instance, if you want to have your auto-emails use the Book Report or Client All Fields Report, you need to open the Email Notification Options and select the desired report from the “Result View” drop-down list. To get to this screen, open up your contact in Contact Manager, expand the “Search Activity” folder, expand the + next to the search you want to edit the notification for, and then click on “Email Notification 1” and “Edit Notification”.
